How we look after the details you share with us. Last updated 19 October 2026.
Who we are
This website is run by Ed Stokes and Oliviya Nicole, performing as Ed & Oliviya (“we”, “us”). We are responsible for the personal information you give us through this site. You can contact us at edandoliviya@gmail.com or on +44 7734 468010.
What we collect
- Enquiry form: your name, email address, phone number (if you give it), event type and date, guest numbers, venue, your message and how you found us.
- Booking a call: when you book a Zoom call through Acuity Scheduling, the details you enter there, including your answers to the booking questions.
- Emails and messages: anything you send us directly.
We don’t ask for payment details on this website.
Why we use it
- To reply to your enquiry and send you a quote. The legal basis is taking steps at your request before entering into a contract.
- To plan and perform at your event if you book us. The legal basis is performing our contract with you.
- To keep basic records for accounts and tax. The legal basis is our legal obligations.
We don’t sell your information or use it for marketing lists.
Who else handles it
We use a few trusted services to run the site and our bookings. They process information on our behalf:
- Netlify hosts this website and receives enquiry form submissions.
- Acuity Scheduling (part of Squarespace) manages call bookings.
- Google provides our email (Gmail) and the fonts used on this site.
- Zoom hosts our video calls.
- WhatsApp (Meta), if you choose to message us there.
- YouTube shows our videos, but only once you press play.
- Spotify plays our recordings, but only once you press “Play here” on the Music page.
Some of these companies are based in the United States. Where your information is transferred outside the UK, they use recognised safeguards such as the UK International Data Transfer Addendum or the UK–US data bridge.
How long we keep it
We keep enquiries that don’t lead to a booking for 12 months, and booking records for as long as we need them for our accounts (usually six years).
Cookies
This website doesn’t set its own cookies and doesn’t use advertising or tracking cookies. Some embedded services may set their own:
- Acuity Scheduling, on the Contact page booking calendar, to make the booking work.
- YouTube, only after you press play on a video. We use YouTube’s privacy-enhanced mode.
- Spotify, only after you press “Play here” on the Music page.
Your rights
You can ask us for a copy of your information, ask us to correct or delete it, or object to how we use it. Email edandoliviya@gmail.com and we’ll respond within one month.
If you’re unhappy with how we’ve handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
